Microsoft 365, Outlook & Email Setup

Outlook and Microsoft 365 configuration, mail that will not send or receive, sync errors, shared mailboxes and migrations.

Microsoft 365, Outlook & Email Setup — the short version. The usual cause is a stale cached credential conflicting with modern authentication, especially after a password change or MFA rollout. Clearing the saved credentials from Windows Credential Manager and letting Outlook re-authenticate fixes it in most cases. Persistent prompts on a work account normally mean a conditional-access policy is rejecting the client.

How we fix it

  2. Check deliveryInspect message traces and headers to see whether mail is being rejected, filtered or silently dropped.
  3. Rebuild the profileRecreate the Outlook profile and data files, which resolves the majority of sync and connection faults.
  4. Fix authenticationUpdate to modern authentication, clear stale cached credentials, configure MFA properly.
  5. Fix deliverabilitySet SPF, DKIM and DMARC records so your outbound mail stops landing in recipients spam folders.

Microsoft 365, Outlook & Email Setup — questions we get asked

Why does Outlook keep asking for my password?

The usual cause is a stale cached credential conflicting with modern authentication, especially after a password change or MFA rollout. Clearing the saved credentials from Windows Credential Manager and letting Outlook re-authenticate fixes it in most cases. Persistent prompts on a work account normally mean a conditional-access policy is rejecting the client.

Why is my email going to spam?

Outbound mail lands in spam mainly because your domain lacks proper authentication records. SPF tells receivers which servers may send for your domain, DKIM signs the messages, and DMARC tells receivers what to do when those checks fail. Publishing all three correctly is the single biggest deliverability improvement for a small business.

Can you move my email from an old provider without losing anything?

Yes. A migration copies mail, folders, contacts and calendar to the new mailbox while the old one stays intact, so nothing is deleted until you confirm the new account is complete. We schedule the DNS cutover so no incoming mail is lost during the switch.

Outlook says "Working Offline" — how do I fix it?

Check the Send/Receive tab and toggle Work Offline back off, which resolves it when it was switched on accidentally. If it re-enables itself, Outlook cannot reach the mail server, and the real problem is network, credentials or a corrupted profile.

What is the difference between Microsoft 365 and Office?

Microsoft 365 is the subscription that includes the Office applications plus cloud mail, storage and ongoing feature updates. A perpetual Office licence is bought once for a fixed version and does not include the hosted mailbox or cloud storage. Businesses that need email hosting need Microsoft 365, not standalone Office.
